  • Studio Etiquette

    Every client is welcome here. We each have a unique body — focus on your own breath, your own movement, and your own experience. Don't measure yourself against others. Learn what works for you, and please treat yourself and those around you with respect.


    Arrive on time. The opening section of each class — breath awareness and muscle activation — is not optional warm-up; it is a core part of the Pilates method and essential for working safely and effectively. We would appreciate it if you could arrive 5-10 minutes before the class starts.


    Suitable clothing. It is important you feel comfortable when exercising. Please consider that loose tops can ride up and loose shorts can fall open during exercise. Beyond being distracting, oversized clothing prevents the instructor from watching your alignment and technique.


    No shoes on the exercise floor. There is a line on the floor between reception and the main studio area denoting the shoes free area. Grip socks are welcome and available to buy at the studio. If you prefer bare feet, please wipe them with the wet wipes provided before stepping onto the floor.


    Accessories. It is better to remove any loose items such as bracelets, necklaces and watches before class, this ensures nothing can become trapped in the apparatus and prevents damage to your precious accessories. Small storage boxes are available — please return them after use.


    Hydration. Please bring only water bottles with a sealable lid into the studio to prevent spills which become slip hazards. We have a water point if you need to refill before or during a class.

  • Cancellation Policy

    Classes including group classes and personal appointments cancelled 24 hours before the start time receive a credit back for use with future classes. 

     

    Cancellations under 24 hours forfeit any class credit, however, if there are particular circumstances for your cancellation let us know and we will try our best to accommodate them. Cancellations as early as possible are greatly appreciated so that we can offer late notice places to our wait lists. You can cancel on the website, our app, call us or send an email to

  • Terms & Conditions


    Introduction


    These terms and conditions include general terms and conditions for the use of this site and the services provided by Inflow Pilates on the site and in our studio. Please read these terms and conditions carefully. 


    In these Terms, “we”/”us”/”our” means Inflow Pilates, and “you”/”your”/”yours” means you, the customer. These Terms together with our booking confirmation (which may be oral or written) constitute the contract (“the Contract”) between us for the supply of services to you. 


    By using this site, you agree to our terms and conditions. We reserve the right to change these terms and conditions and will provide written notice of such actions. 


    Bookings and Classes


    All classes must be paid for in advance, via our website, app, or at the studio. Classes can be booked online where there is availability, the latest class schedule is available online. Class availability can change as and when bookings are made or cancelled by clients. One-to-one and one-to-two sessions should be arranged directly with the teacher. It is your responsibility to ensure that you have made your booking and payment correctly.


    Change of teacher: If for any reason we are forced to change a teacher allocated to a class we will let you know in advance. 


    We reserve the right to cancel classes due to insufficient enrolment or teacher availability. 


    Payment


    You can pay for your class online with a credit or debit card, and at the studio by the same means as well as cash. All prices are final and credits are non-refundable. Unless marked, credits are non-transferable. Full details are available on the website. 


    Expiration of bookings: The expiry date of each class package is clearly detailed on the website and the start date is the day of purchase.


    Cancellation Policy

    Cancellations by us: If we cancel a class for which you have a booking, a class credit will be automatically issued. 


    No-show policy: If you fail to attend a class for which you have made a booking without prior cancellation, a credit will be deducted. 


    Health and Participation


    Your health and safety are of paramount concern to us. Pilates as a physical exercise involves potential risks. In booking a class you acknowledge that you are in good physical conditions and able to participate in physical exercise. That you will follow all teacher guidance and safety instructions. 


    Prior to your first lesson at Inflow Pilates you are required to complete a Health and Participation Agreement, in which you must disclose all relevant medical conditions, injuries or physical limitations. Should your condition change please advise your teachers before or during any classes. We will ask you to review your Health and Participation Agreement periodically. 


    Our teachers may record notes about the impact of your physical condition on the ability to perform certain exercises in a class. These notes to ensure safe practice and are only for teachers involved in your classes. Our teachers will as necessary adjust exercises for clients to ensure they are safe when exercising in class. Advice provided by our instructors at no time constitutes medical advice in substitute for advice provided by a medical professional.


    If you have a foot complaint, such as a verruca or similar, you must wear socks in the studio.


    Pregnancy: Please advise our teachers if you are pregnant. For your safety and that of your baby, medical clearance is required, and you must fill in a Pregnancy Health and Participation agreement. Attendance in regular classes is only possible during the first trimester.


    On occasion we may offer specialised Pre-natal classes which are specifically designed for clients who are pregnant. Alternatively you could book one-to-one classes.  


    Age Restrictions: If you are aged 16 years or younger you are not able to attend our studio.

    Limitations of Liability


    Inflow Pilates cannot be held responsible for any particular session, teacher and/or item of Pilates equipment not being available for whatever reason. The Company reserves the right to make alterations to the sessions, teachers and/or equipment, as well as ancillary facilities provided to you without notice, and in its absolute discretion and the Company will not be liable for any loss occasioned by such alterations except insofar as such loss is by law incapable of exclusion. 


    It is the Client’s responsibility to ensure that they are capable of undergoing a routine of exercises provided by any program which they follow or class which they attend. Clients  accept the risk of injury from performing exercises and using specialist equipment and are advised to consult their doctor prior to beginning any session. The advice provided by our teachers at no time constitutes medical advice in substitute for the advice provided by a medical professional.

    We  accept no liability for loss or damage to property of Clients or for injury to them on the Studio premises or outside the Studio except insofar as such loss, damage or injury is by law incapable of exclusion.


    In consideration of their participation in the activities and programs of the Company and the use of facilities and equipment owned and/or under the control of the Company the Client hereby waives and releases the Company from any and all responsibility or liability for injuries or damages resulting from their participation in any of the Company’s activities or use of the Company’s equipment or facilities save in respect of death or personal injury caused by the negligent act or omission of the Company.


    Studio Etiquette

    Accessories: It is better to remove any loose items such as bracelets, necklaces and watches before class, this ensures nothing can become trapped in the apparatus and prevents damage to your accessories. We also recommend removing rings to enable better grip on straps and bars and to prevent possible damage. Small storage boxes are available — please return them after use.


    Hydration: Please only bring water bottles with a sealable lid into the studio to prevent spills which can become slip hazards. We have a water point if you need to refill before or during a class. Hot drinks or sugary and fizzy drinks are not allowed in the exercise area. 


    Food: No food or chewing gum is allowed in the exercise area. 


    Phones and Smart Glasses: Please place phones on silent when entering the studio. Please do not use phones or Smart Glasses during classes. Photography and filming is not allowed during classes.

  • Privacy Policy

    Your privacy is important to us. Inflow Pilates aim to respect your privacy and comply with all the relevant legislation relating to any personal information we may collect about you. Personal information is any information about you which can be used to identify you. This includes information about you as a person, your devices, payment details, how you may use our online services. 


    Where our online services link to third-party sites and services, please be aware that those sites and services have their own privacy policies. 


    This notice explains what personal data we collect about you, why we collect it, and what your rights are. We are required to provide this information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.


    What Data We Collect and Why. 

    We only collect data we genuinely need to provide you with services related to our business. The information is gathered based on your consent (for example disclosing health data), contractual necessity to register and manage bookings and vital interests for example emergency details. This may include:

    • Contact and Personal Details such as name, email address, telephone number, address. 
    • Health Information relating to physical health, pre-existing injuries, medical conditions, posture analysis and any issue which you choose to disclose to ensure your safety and ability to participate in our Studio. 
    • Emergency Information including emergency contact name and telephone number
    • Financial and Administrative Data related to transaction history, attendance and booking information, and payments. 
    • Notes based on observations during sessions or classes, for the purpose of offering safe and effective instruction. 
    • Inflow Pilates have considered the need for using CCTV and have decided it is necessary for the prevention and detection of crime and for protecting the safety of individuals, or the security of premises. We will not use the system for any incompatible purposes and we conduct regular reviews of our use of CCTV to ensure that it is still necessary and proportionate.

    Our policy is to collect the minimum amount of data necessary to safely provide you with our services.


    Security of your data

    Data is secured digitally through commercially acceptable means to prevent loss and theft, unauthorised access, disclosure, copying, use or modification. While we endeavour to do our best to ensure security, no communications via electronic means are 100% secure. You are responsible for selecting an appropriate password to ensure your information security within the bounds of our services. 


    Written data is stored in a locked location and access strictly controlled.


    Data Retention Policy

    We retain your information for only as long as we need to. We regularly review the data we hold on a half yearly basis. We do not hold your data longer than we need to. If necessary we may retain your information for compliance with legal, accounting or reporting obligations, deleting as soon as practical after the requirement ends. 


    We retain a maximum of 31 days of CCTV images. After 31 days the oldest days data is auto-deleted on a rolling basis.


    Third Parties we currently use:

    Arketa - provider of website and app

    Stripe - provider of payment services. 

    These companies will have their own privacy policies. 


    Your rights and control of information

    Under UK rules you are able to request:

    Access — request a copy of the data we hold about you.

    Rectification — ask us to correct inaccurate data.

    Erasure — ask us to delete your data, where we have no legal reason to keep it. Please note that deletion of your records may impact on our ability to offer services, for example if medically relevant information were no longer available. 

    Restriction — ask us to stop actively using your data while a query is resolved.

    Portability — receive your data in a commonly used format.

    Object — object to us processing your data in certain circumstances.
